Privacy Policy for Events

The following Privacy Policy for Events informs you about the data we collect from visitors or participants in connection with the events (such as forums, conferences, or lectures) organized by SAN Group GmbH  (hereinafter referred to as the "Organizers" or "We" or “SAN Group").

We process your personal data exclusively in accordance with the provisions of the European General Data Protection Regulation (GDPR) and applicable local data protection regulations.

Data Collection and Processing

As part of your registration for events, we process the personal data you provide when you register and any data that may need to be processed during the event to enable you to participate in the event. The legal basis for this data processing is the fulfilment of pre-contractual or contractual measures in accordance with Art 6 Paragraph 1 lit b GDPR as well as our legitimate interest in data processing in accordance with Art 6 Paragraph 1 lit f GDPR for the processing of your registration and participation in the event. Failure to provide us with the data would prevent us from processing your registration and subsequently your participation in the event.

Specifically, the personal data provided by you will be processed by us for the following purposes:

  • handling of your registration and your participation in the event;
  • transmission of information and updates to you concerning the event;
  • transmission of information regarding other events of interest to you (newsletter), provided you have given us your separate consent.
     

Audio, video, and photo material

With your participation at the event, you acknowledge and consent to the creation of image and audio material.

Selected image and audio material will be used on the corporate websites www.san-group.com or its affiliated parties for marketing purposes. In addition, selected images and videos might also be used for advertisements in various print media, such as newspapers and magazines, flyers (products, HR, events), brochures, folders for training events, posters, banners and roll-ups as well as for event invitations and on social media (e.g.: „LinkedIn“, „Xing“, „Facebook“, „Instagram“, “YouTube”, „Twitter“).

Please note that information on the Internet is accessible worldwide and can be found with search engines and can be linked with other information which could allow the creation of personality profiles. Once information has been placed on the Internet, it can easily be copied and further processed.

Your consent is granted for an indefinite period of time. Your consent does not give rise to any rights such as remuneration. Your consent is voluntary. If you do not consent, there will be no disadvantages for you.

Your consent can be withdrawn at any time in text form effective for the future. You can reach us at our business address at dataprotection@san-group.com

In case of withdrawal, promotional material in which you can be recognized, and which substantially shows only you will then be removed from all the digital media listed above and will no longer be used for new print media. If you are shown on a photo or in a video together with other people, your image will be obscured for any reuse of the material.
 

Data Security Measures

We take the protection of your data very seriously and use technical and organizational security measures to protect the personal data against accidental or intentional manipulation, loss, destruction or against access by unauthorized persons. We continuously improve our security measures in accordance with technological developments.
 

Who receives your data?

The access to your data is granted to those departments and persons employed at SAN Group who need it to fulfil the described processing purposes. In addition, service providers commissioned by us (processors pursuant to Art. 28 GDPR) can also receive your data if it is required to provide services in connection with the event. These may be companies providing IT services, logistics, printing services, telecommunications, sales and marketing, as well as hotels and other event related providers. All processors and partners are contractually obliged to protect personal data they become aware of and must treat personal data confidentially.
 

Transmission of data to a third countries

Data can be transferred to organizations in countries outside the European Union (so-called “third countries”) in case our service providers are based in third countries, or if this is necessary or legally required for the event, or if you give us your explicit consent. Insofar as the transfer is not based on an adequacy decision of the European Commission, we transfer the data on the basis of suitable and appropriate safeguards (e.g. standard contractual clauses).
 

Storage Duration

We process and store your personal data only for as long as is necessary for the fulfilment of the purposes and contractual obligations described above or for as long as legal requirements provide for storage. If your personal data is no longer required for the fulfilment of the purposes described, it will be deleted on a regular basis.
 

Your Rights

In accordance with the provisions of GDPR, as data subject you have the following rights in respect to your personal data: right of access to personal data, right to rectification or erasure, right to restriction of data processing, right to data portability, and right to object to processing of personal data.
